Data protection information in the application process
PreOmics GmbH processes your applicant data exclusively for the purpose and in the context of the application procedure in accordance with the legal requirements. The processing of the applicant data takes place for the fulfillment of our (pre-)contractual obligations within the scope of the applicant selection procedure in the sense of article 6 paragraph 1 lit. b. DS-GVO as well as § 26 BDSG, if the data processing is necessary for us, e.g. in the context of legal procedures.

The application procedure requires that applicants send us their application documents. If we offer an online form, the required applicant data is marked, otherwise it is stated in the job description. In principle, this includes personal details, address and contact data as well as the documents belonging to the application, such as cover letter, CV and certificates. In addition, applicants can voluntarily provide us with additional information.

By submitting the application to PreOmics GmbH, applicants agree to the processing of their data for the purposes of the applicant selection procedure in accordance with the type and scope described in this data protection declaration.

As far as special categories of personal data in the sense of Art. 9 paragraph 1 DS-GVO are voluntarily communicated in the context of the application procedure, their processing is additionally carried out according to Art. 9 paragraph 2 letter b DS-GVO (e.g. health data, severely handicapped characteristics or ethnic origin). Insofar as special categories of personal data within the meaning of Art. 9 Para. 1 DS-GVO are requested from applicants in the course of the application procedure, their processing is also carried out in accordance with Art. 9 Para. 2 letter a DS-GVO (e.g. health data if this is necessary for the exercise of the profession).

Applicants can submit their applications to PreOmics GmbH using an online form on our website. The data will be transmitted to us encrypted according to the state of the art. Applicants can also send us their applications by e-mail. Please note, however, that e-mails are generally not sent in encrypted form and applicants must ensure that they are encrypted themselves. We therefore cannot accept any responsibility for the transmission path of the application and therefore recommend using an online form or postal delivery. In addition to an application via the online form and by e-mail, it is also possible to send us the application by post.

The data provided by the applicants can be processed by us for the purposes of the employment relationship in the event of a successful application. Otherwise, if the application for a job offer is not successful, the applicants' data will be deleted. The applicants' data will also be deleted if an application is withdrawn, which the applicants are entitled to do at any time.

Subject to a justified revocation by the applicants, the data will be deleted after a period of six months so that we can answer any follow-up questions regarding the application and meet our obligations to provide evidence under the Equal Treatment Act. Invoices for any travel expense reimbursement will be archived in accordance with tax law requirements.

To carry out the online application process, we use the services of the third-party provider Personio (Personio GmbH, Buttermelcherstr. 16, 80469 Munich, Germany). Personio has its headquarters in the European Union. Personio processes the applicants' data on our behalf and on the basis of contractual obligations which provide for compliance with the agreed organizational and technical measures (in terms of Art. 28 para. 3 sentence 1 DS-GVO). The use of Personio GmbH is based on our legitimate interests as well as the interests of the applicants in the implementation of a fast and effective applicant selection process (in terms of Art. 6 para. 1 lit. f. DS-GVO).

Talent pool
As part of the application process, we offer applicants the opportunity to be included in our "pool of applicants" for a period of one year on the basis of a consent in the sense of Art. 6 (1) lit. b. and Art. 7 DS-GVO.

The application documents in the applicant pool will be processed solely in the context of future job advertisements and will be destroyed at the latest after the expiry of the period of one year. Admission to the talent pool is voluntary and has no influence on the current application procedure. This consent is voluntary and can be revoked at any time for the future.

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. Without this data, it would, in some cases, be technically impossible to deliver or display the contents of the software. In addition, processing this data is absolutely necessary under security aspects, in particular for access, input, transfer, and storage control. Furthermore, this anonymous information can be used for statistical purposes and for optimizing services and technology. In addition, the log files can be checked and analyzed retrospectively when unlawful use of the software is suspected. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. Generally, data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp of the access to the software is collected. The scope of this log process does not exceed the common log scope of any other site on the web. These access logs are stored for a period of up to 7 days. There is no right to object to this.

Error logs

So-called error logs are generated for the purpose of identifying and fixing bugs. This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected. These error logs are stored for a period of up to 7 days. There is no right to object to this.

Use of cookies

So-called cookies are used on parts of this recruitment website. They are small text files which are stored on the device with which you access this recruitment website. As a general rule, cookies serve the purpose of ensuring secure access to a website (“absolutely necessary”), implementing certain functionalities such as standard-language settings (“functional”), improving the user experience or the performance of the website (“performance”), or placing targeted advertisements (“marketing”). On this recruitment website, we generally use only cookies that are absolutely necessary, functional or performance-related, in particular for implementing certain default settings such as language, for identifying the job advertising channel, or for analyzing the performance of a job advert via which a user accessed this recruitment website. If the personal data is processed with your consent, you have the right to withdraw this consent under article 7 III of the GDPR. Personio reserves the right to adjust this data privacy statement at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the services offered, for example when new services are introduced.
